Field Summary

The "Field Summary" shows quick calculations for selected fields in the footer of a grid view. These calculations give quick information about your data, for example total sums, averages, minimum values and maximum values. This section tells you how to use and configure the field summary.

Overview

The Field Summary is an aggregated value that NocoDB calculates from all rows in a grid view. The summary cells at the bottom of the field show the result. Filters on the grid change which rows show, so they also change the summary.

When you select a range of cells or tick row checkboxes, the footer calculates over the selected cells only. Refer to Selection-scoped summary below for details.

You cannot reference these aggregated values directly in other parts of the table.

When a grid view is shared publicly, the viewers also see the summary. Viewers of a shared view can also change the field summary configuration for their needs. NocoDB does not save these changes. They go back when the page is refreshed.

Summary configurations are grid view specific. You can create many grid views for a table. Each grid view can have its own summary configuration.

Configuring Field Summary

By default, the summary is disabled for all fields. To enable the summary for a field:

Go to the grid view of the table.

  1. In the footer, click the cell of the field.
  2. In the dropdown list, select the summary type.

Access

When the grid view changes, the values in the footer cells update immediately. To disable the summary for a field, click the summary cell and select "None" in the dropdown list.

Summary Types

The available summary functions depend on the field type. The general functions below are available for most field types:

Summary configuration is not available for DB specific field types.

Selection-scoped summary

By default, the footer aggregates over all rows that show in the grid. When you select some cells, the footer calculates over only those cells. You can then see totals, counts or ranges for only the records that you want. You do not change filters or the summary configuration.

How to activate

The footer goes into selection-scoped mode when one of these is true:

  • Cell range: You select more than one cell. Click and drag, or shift-click.

  • Row checkboxes: You tick one or more checkboxes in the index column on the left.

A click on a single cell does not start selection scope. If you select all records with the "select all" checkbox in the header, the footer also does not change. The full-table totals that show by default are already correct for that case.

To go back to the full-table summary, click one single cell or clear the row checkboxes.

Behaviour in scope

  • Fields inside the selection calculate their summary again over the selected cells only. Each field keeps its summary type (for example Sum, Average, Median or Date Range).
  • Fields outside the selection show an empty footer while the selection is active. The "Summary" control to configure a new summary is also hidden while a selection is active. To configure summaries again, clear the selection.
  • Summary values update immediately when you make the selection larger or smaller.

Behaviour in group-by views

When the grid is grouped:

  • A cell range in one group changes only the header summary of that group. Other groups continue to show their normal group totals.
  • Row checkboxes change the header summary of each group that has one or more checked rows. For checkbox selections, all fields are in scope, because you select full records.
  • The global footer at the bottom of the grid shows the combined selection across all groups.

Limitations

  • NocoDB calculates selection-scoped summaries over the rows that are loaded in the grid. If a cell range goes into rows that are not loaded yet, the footer shows the full-table summary. It does not show a partial value.
  • Selection scope does not apply to dashboards or other parts of the product. You cannot reference the footer values in other places.
